Data protection impact assessments

Introduction

This guide outlines the functionalities of the Data Protection Officer (DPO) and Data Protection Impact Assessment (DPIA) available to schools within the Wonde platform. These features empower schools to effectively manage their data protection responsibilities by simplifying DPO nomination and providing comprehensive resources to streamline DPIA completion, ultimately enhancing the security and compliance of school data.

Data Protection Officer (DPO)

Wonde provides the ability for schools to nominate a DPO so, if needed, we can contact them about anything related to the security of your school data.

One or multiple users can be nominated as the DPO through the user management area of the portal.

To nominate a DPO, you can either select from an existing admin or choose someone new by inviting new users into the platform. If you choose someone new you will have the option to invite them as an administrator. Please note that administrators can log in and manage applications on behalf of the school.

Please see the Managing Users guide to better understand how to add and manage users.

Data Protection Impact Assessment (DPIA)

Wonde has worked with our third-party applications to help provide useful information for your school to manage its DPIA requirements.

All data required to complete a data protection impact assessment (if provided by the application) can be found in an application's profile, which is accessible from the School Portal App directory and  Applications area under the DPIA tab.

A user accessing the DPIA information can find data about:

  • The organisation providing the application.
  • About the application itself.
  • Data protection and accountability.
  • Security and risk management.

The user can navigate through these sets of data on the left-hand side of the page.

This data can be used to create DPIA documents required for all applications a school shares data with. Wonde has worked to simplify this process for schools and reduce the time spent by introducing two additional pieces of functionality available on this page. You can:

  • Download the DPIA to be used in school documentation.
  • Download a pre-populated DPIA template which can be edited and saved locally in schools systems.
